grommunio Web 5.0 is here
grommunio released Web 5.0 on 15 September 2026. According to grommunio, it is the largest Web client release so far and includes more than 460 changes since version 3.19. The update is not just a visual refresh: it touches daily handling, shared mailboxes, attachments, encryption, performance and administrative settings.
From a ForgeOne perspective, the release is especially interesting for organizations that use grommunio as an Exchange alternative and rely on shared mailboxes, browser-based work and predictable client behavior.
A more desktop-like web client
The visible change starts with the interface. Web 5 adds a Command Palette with Ctrl+K, better keyboard navigation, Ctrl+F search behavior, clearer keyboard focus and a shortcut overview. grommunio also describes undo and redo for selected mail and calendar actions via Ctrl+Z and Ctrl+Y.
For users this matters because common actions become easier to reach without hunting through menus. For larger mailboxes and frequent context switches, this can make the web client feel closer to a desktop application.
Shared mailboxes, search and notifications
Shared mailboxes are one of the areas ForgeOne watches closely in grommunio projects. grommunio describes improvements around conversation view, shared mailbox ordering, favorites, public-folder search including subfolders, localized search prefixes and more flexible notifications.
We tested Web 5 alongside our current shared-mailbox lab. The mounted shared mailbox was visible in grommunio Web, and the new grommunio/v1 settings namespace is relevant for environments with automations around shared stores. Attachments and document previews
According to grommunio, Web 5 improves attachment handling with multi-select actions, drag and drop, saving selected attachments, moving attachments into compose workflows and removing attachments from existing messages where allowed. The document viewer is also expanded for common office, image, media, source and message formats such as PDF, Word, Excel/CSV, PowerPoint, OpenDocument, Markdown, JSON, images, audio/video and .eml files.
In our lab we only partially probed the compose and attachment path, so we treat the detailed attachment and viewer behavior as a topic for controlled acceptance testing rather than as fully verified in this news post.
OpenPGP and digital sovereignty
grommunio positions OpenPGP as an additional option alongside S/MIME. The vendor describes signing, encryption, decryption and verification with cryptographic operations in the browser and passphrase-protected private keys stored in the user mailbox.
For organizations that care about digital sovereignty, this is strategically relevant. It does not remove the need for key-management concepts, user training and policy decisions, but it brings another encryption path directly into the web client.
More Outlook-oriented behavior
The release also targets Outlook-oriented environments. According to grommunio, categories are stored in the mailbox master category list so names and colors can align between Web, Outlook and mobile clients. Existing categories can be migrated, and safe/blocked sender handling is mapped to Outlook-compatible junk email rules.
ForgeOne has not treated every Outlook synchronization case as fully verified in this run. For customer rollouts, that remains a dedicated acceptance area.
Performance, security and administration
grommunio describes performance work around parallel requests during login, browser caching, pre-compressed assets, faster calendar views and an optimized folder tree. The vendor also highlights Cyber Resilience Act related work such as SBOMs in CycloneDX and SPDX, REUSE metadata, a security policy, CSRF/token hardening and session cleanup improvements.
For administrators, Web 5 also matters because plugin loading, JSON themes and configuration options have changed. The old Zarafa naming is replaced by the grommunio/v1 settings structure, with compatibility aliases still present for now. Anyone maintaining plugins or automations should review that namespace change.
What changes in everyday use?
For users, the update means faster navigation, more keyboard-driven workflows, undo/redo options, richer attachment handling, an expanded document viewer, OpenPGP and better shared-mailbox ergonomics.
For administrators, the important topics are the new settings structure, plugin and theme adjustments, security-related metadata, new configuration options and controlled migration of existing user settings.
ForgeOne assessment
grommunio Web 5.0 is a relevant client-side milestone. The release brings visible usability improvements, but the operationally important part is the combination of shared-mailbox behavior, settings migration, security work and Outlook-oriented compatibility.
