## Modernisation instead of parallel standalone tools

Taxi Engelbrecht already operated a production Nextcloud. The modernisation therefore could not start from an empty installation. Data and relevant configuration had to move to a current environment while preserving the working foundation for email, appointments, contacts and files.

ForgeOne connected the renewed Nextcloud with grommunio as the groupware platform. Responsibilities are deliberately clear: grommunio carries communication, while Nextcloud carries shared files, browser-based document editing and additional tools for organisation and collaboration.

## Email and groupware with grommunio

grommunio provides mailboxes, webmail, calendars and contacts in one coherent interface. Synchronisation and standard protocols support suitable mobile devices and desktop applications without maintaining separate data sets for each access path.

An active anti-spam service is integrated into mail processing. The groupware components are updated and monitored together so web access, delivery and synchronisation are not treated as unrelated systems.

## Nextcloud as the working area

The Nextcloud environment manages files, shares, versions, reminders and deleted content. Calendar and Contacts add team-oriented working views. Deck, Notes, Forms and Tables support task planning, structured data collection and jointly maintained information.

EuroOffice is integrated as the document service. Supported text, spreadsheet and presentation files can be edited directly in the browser. This reduces breaks between file storage and document editing without moving documents into an external individual workspace.

## From local accounts to central SSO users

The former LDAP connection was not carried into the new Nextcloud as a legacy dependency. The current environment uses local accounts and supports time-based two-factor authentication and backup codes.

These local accounts are a transitional stage. They will be mapped to central SSO identities and converted into SSO users in a controlled next step. Until that change is complete and verified in production, local sign-in remains the current operating path.

## Outcome

Taxi Engelbrecht now has a current collaboration environment that continues the established cloud while extending its capabilities. Files, calendars, contacts, notes, forms, task boards, tables and office documents share one working context.

grommunio complements that environment with day-to-day email and groupware communication. The technical separation of the services remains intact, while users receive a coherent toolset with clear responsibilities.
