Case study of Talheim Records’ migration from Kopano to grommunio and its integration with Nextcloud, SAML SSO, office editing and support processes.

CUSTOMER REFERENCE / SSO / PROCESS INTEGRATION

## Talheim Records: Integrated Groupware, Cloud and Working Processes

Following the migration from Kopano to grommunio, communication, files, knowledge, tasks, appointments and support processes work together on a self-hosted platform.

## Project highlights

### From Kopano to grommunio

The migrated groupware continues email, calendars, contacts and synchronisation while adding centrally managed archiving.

### Nextcloud as a work platform

Files, shared areas, knowledge, tasks, forms, appointments and contacts come together in one working context.

### Central SSO

Nextcloud directs sign-in through the Talheim Records identity service and its branded login page.

### EuroOffice

Office documents can be edited directly inside the cloud.

### Support integration

The Zammad integration connects cloud collaboration with the established support process.

### Traceable operations

Audit functions, announcements, quota warnings, two-factor options and monitored services support ongoing operations.

## A platform for more than file storage

Talheim Records brings together label communication, organisational tasks, shared documents, appointments and support cases. File storage alone would represent these working patterns only partially. The objective was therefore a collaboration platform that connects communication and operational tools without forcing every function into one difficult-to-maintain application.

grommunio and Nextcloud take on different roles. grommunio provides email and groupware. Nextcloud supplies files, shared areas, knowledge collections, tasks, forms, appointments and browser-based document editing. The central identity service connects access wherever a common sign-in path is intended.

## Migration from Kopano to grommunio

Talheim Records’ groupware was also migrated from Kopano to grommunio. Established workflows for email, calendars, contacts, web access and mobile synchronisation could therefore continue on an actively developed platform.

The central management interface simplifies ongoing administration of the groupware services. It also allowed communication to become part of the new collaboration architecture and to be extended with the mail archiving used by Talheim Records.

## Communication and archiving with grommunio

grommunio provides mailboxes, webmail, calendars, contacts and synchronisation paths for suitable desktop and mobile applications. Mail processing uses an active anti-spam service.

Talheim Records also runs the grommunio archive services. Communication is therefore not only delivered and synchronised, but also processed within the intended archive service. This case study describes the technical function without making blanket claims about statutory retention periods or compliance.

## Nextcloud as the operational working environment

Nextcloud connects personal files with Groupfolders for jointly managed areas. Versions, recycle bin, locking, reminders, sharing and ZIP downloads support day-to-day work with files.

Collectives, Deck and Tasks cover knowledge collections, task boards and personal or shared tasks. Forms, Appointments, Calendar and Contacts support structured feedback, bookable appointments and contact data. Announcement Center provides a central place for internal notices.

EuroOffice enables supported office documents to be edited in the browser. The Zammad integration creates a defined transition between cloud work and support cases instead of passing support communication around only as unstructured files or email.

## SSO and identity integration

Nextcloud sign-in is connected to the Talheim Records identity service through SAML. The public login page follows the brand identity and provides a consistent entry point for connected services. The enabled directory connection complements the central identity structure.

Time-based two-factor authentication and backup codes are available as additional account-protection mechanisms. Administrative audit logging and quota warnings support operations without exposing content or user activity in the public case study.

## Outcome

Talheim Records uses grommunio and Nextcloud as separate but coordinated components. Communication, archives, files, knowledge, tasks, forms, appointments, office documents and support processes each receive an appropriate technical area of responsibility.

The value lies not in the longest possible app list, but in clear ownership: grommunio carries communication data, Nextcloud carries collaborative work content and the identity service carries central access. The areas can therefore be maintained independently while remaining one coherent working environment for users.

## Project context

Talheim Records uses the platform in day-to-day operations. ForgeOne was responsible for its design, migration and technical implementation. Both companies are organisationally connected through their common proprietor.

## Integrate collaboration into established working processes

ForgeOne connects groupware, cloud services, identities and operational applications through clearly separated services and understandable interfaces.
